Booking and no-show reminders for dental clinics: cost, setup, privacy
Short answer: Automated text and email reminders let patients confirm by reply, so staff only call the ones who don't. Start with the reminders already in your practice software, such as Curve Dental's built-in reminders. If you need more, add a patient communication platform that connects to your system. Examples:
- Weave: its reminders integrate with Dentrix and Dentrix Ascend, and Curve announced a Weave integration in 2019. Price is "starting from $199 per month", currency not named (Weave pricing).
- MaxAssist (formerly RecallMax): says it works with ABELDent, Eaglesoft and Tracker (MaxAssist).
This is mostly automation, not AI. Under PHIPA (Ontario's health privacy law) the main privacy points are where the vendor processes your patient data (Weave says it may be in the US) and keeping health details out of the text itself.
Prices checked 2026-10-17. Few dental vendors publish prices, so expect to ask for a quote.
What the job looks like
A patient books a cleaning. They get a "save the date" text, then a reminder a few days before, and can reply to confirm. Patients who haven't confirmed show up on a list for your front desk to call. When someone cancels, staff can offer the slot to someone else. Recall messages ("you're due for your cleaning") are a related job. See the Starter Kit, job 6.
Options compared
| Option | Cost (official page) | Works with | Setup | Privacy notes | Verdict |
|---|---|---|---|---|---|
| Your practice software's built-in reminders (e.g. Curve Dental) | Curve shows no prices on its communication page. Not confirmed (Curve) | Curve: "Patients automatically receive appointment reminders via email or a text message" (Curve) | Low: settings in software you already use | Same vendor that already holds your records. Curve's page lists only a US (Georgia) address. Ask about Canadian data location | Try it first |
| Weave | "Starting from $199 per month". Currency not named. Plan prices by quote (pricing) | Reminders integrate with Dentrix and Dentrix Ascend (Weave, Aug 26, 2025). Curve Dental announced a Weave integration in 2019 (Dental Products Report, 2019) | Weave says every plan includes "expert onboarding" (pricing). Time not stated | Terms: data "may be transferred to or processed in the United States or other countries" (terms). Has a Canadian PHI data processing addendum naming PHIPA, last updated Oct 1, 2020 (DPA) | Try it if your software can't do two-way confirmations (patients reply to confirm) |
| MaxAssist (formerly RecallMax) | Plans page blocked our check. A third-party listing shows CA$395 starting price. Not confirmed (Capterra Canada) | Vendor shows Eaglesoft, ABELDent and Tracker integrations (MaxAssist). Not independently confirmed | Not stated | Data location not confirmed. Ask the vendor | Watch it: price and integrations not confirmed |
| Lighthouse 360 (Henry Schein One) | No Canadian price found. Not confirmed | Launched for Canadian practices in July 2020 with "automated reminders and confirmations" and two-way text (Oral Health Group, 2020). Supported practice systems not confirmed | Not stated | Data location not confirmed | Watch it: Canadian price and supported systems not confirmed |
Is there AI in this? Mostly no. Reminders follow rules you set (timing, channel). Some platforms add AI features around calls. For example, Weave lists "Call Intelligence", which uses AI to help turn calls into appointments (Weave pricing). You do not need AI to get the main benefit here.
Privacy check (PHIPA, PIPEDA and CASL)
- Where is the data processed? Weave's terms say data may be processed in the US (Weave terms). PIPEDA allows this, but you stay accountable and should tell patients (OPC).
- Sign the health information agreement. Ask for the vendor's Canadian or PHIPA addendum. Weave's names it as an "information manager" or "agent", and commits to breach notice "without undue delay" (Weave DPA).
- Keep texts minimal. Clinic name, date and time, and a confirm link. Leave out the procedure. If you send health details by email, the IPC expects encryption where feasible. For unencrypted email, have a written policy, tell patients, and get their consent (IPC email fact sheet).
- CASL (anti-spam law). A commercial message that solely "facilitates, completes or confirms" a transaction the patient agreed to is exempt from CASL's consent rule only. The rule that it identify the sender and include an unsubscribe still applies (CASL s. 6(1) and 6(6)). Recall and marketing messages may need consent as well (CRTC FAQ). Ask your lawyer how your messages are classified.
- Vendor checklist. The federal privacy commissioner's 2026 guidance (open for comment until December 4, 2026) lists the questions to ask any vendor: data flows, location, security, breaches, deletion and exit (OPC).
Step-by-step setup
- Check what you already have. Look in your practice software's settings for reminders, confirmations and two-way text (patients reply to the text to confirm).
- Measure your starting point. Count no-shows and same-day cancellations for the last month, using your software's reports. This lets you see if the change works.
- Ask for quotes from one or two add-on platforms only if your software can't do two-way confirmations. Confirm it supports your exact software version.
- Send the privacy questions in writing (above) and file the answers and the signed agreement.
- Set the schedule. Pick when messages go out, for example at booking and a few days before. Write a short, plain template with no treatment details.
- Confirm patient contact preferences. Record each patient's mobile number and whether they agree to texts and email.
- Turn it on for one provider's schedule first. Watch replies for a week.
- Set the follow-up rule. Decide who calls unconfirmed patients, and when.
- Compare no-shows after a month against step 2.
FAQ
How much do dental appointment reminder systems cost in Canada?
Few vendors publish prices. Weave lists "starting from $199 per month" without naming the currency (Weave). Reminders built into your current practice software may cost nothing extra. Check your contract.
Does Weave work with Dentrix and Curve Dental?
Weave says its reminders integrate with Dentrix and Dentrix Ascend (Weave), and Curve Dental announced a Weave integration in 2019 (Dental Products Report, 2019). Confirm support for your version.
What works with ABELDent?
MaxAssist (formerly RecallMax) shows ABELDent as a supported system (MaxAssist). We could not confirm this independently. Ask ABELDent which reminder tools it supports.
Is it OK under PHIPA to text appointment reminders?
The IPC's guidance focuses on safeguards and consent for electronic communication (IPC). Keep reminder texts minimal, record patient preferences, and have a written agreement with the vendor.
Do appointment reminders need consent under CASL?
Commercial messages that solely confirm a transaction the patient agreed to are exempt from the consent rule under CASL s. 6(6)(b), but must still identify the sender and include an unsubscribe (CASL s. 6(1)). Recall and promotional messages may also need consent. Get legal advice for your setup.
Is this AI?
Mostly not. Reminder systems are rule-based automation: they send what you set, when you set it, so you can check exactly what patients receive.
