Write admin messages once with Gemini skills
2026-10-17 Sample issue Massage therapyTry it Tool: Gemini app skills (Google)
Google's new Gemini skills save your clinic's tone and rules for routine writing with no client information in it.
Today's useful thing
The job: your front desk writes the same messages every week, such as the cancellation reminder or the gift card FAQ, and re-explains the clinic's tone to a chatbot each time.
On October 13, 2026, Google started rolling out "skills" in the Gemini app. A skill is a saved set of instructions you can reuse whenever you prompt Gemini (Google, September 30, 2026). You write the rules once ("warm, short, Canadian spelling") and call the skill when needed.
Per Google's admin help, you type / and the skill name in a chat, and you can combine several skills in one prompt. Google's help article says skills suit tasks you repeat, not one-off jobs.
- Cost: The Gemini app is included with Google Workspace. Business Starter lists at CA$9.20 and Business Standard at CA$18.40 per user per month, before tax; new customers may see a promotional price (Google Workspace pricing, Canada, checked 2026-10-17).
- Setup time: About 45 minutes (steps below). Rollout runs until mid-November 2026, so it may not be in your account yet. Skills inside Gmail, Docs and other Workspace apps are "delayed until further notice"; this is the Gemini app only (Google).
- Privacy check (PHIPA/PIPEDA):
- Use your clinic's Workspace account, not a personal Gmail. Google's admin help says chats from accounts without a qualifying Workspace edition may be read by human reviewers.
- For Workspace users, Google says content is not reviewed by humans or used to train its AI models outside your organization without permission (Google admin help; Workspace with Gemini FAQ). Google's skills announcement does not address this for skills specifically.
- Storage of your data in Canada: not confirmed for the Gemini app (Google Cloud docs list Canada only for the separate Gemini Enterprise product).
- We found no Google health-data agreement covering the Gemini app. Ontario's health privacy law, PHIPA, applies to practitioners holding client health information, so keep names, health details and appointments out.
- Verdict: Try it, for writing with no client information only. No extra cost if you already pay for Workspace.
Quick hits
- If your staff built Gems (older saved Gemini assistants), they move to Settings on November 17, 2026; for business accounts they stop working, and are converted to draft skills, no sooner than March 1, 2027 (Google).
- An AI receptionist vendor's own call data says 14.1% of calls to small businesses come after hours; it does not report clinics separately (NextPhone).
Try this tomorrow
- Open the Gemini app with your clinic's Workspace account. Look for skills in Settings; if absent, try next week (5 minutes).
- Gather three messages you send often: cancellation reminder, gift card FAQ, one newsletter. Remove any client names (10 minutes).
- Ask Gemini in chat: "Create a skill that writes clinic emails in our tone, using these three examples." (Google says this works.) Read the instructions it writes and fix anything wrong (15 minutes).
- Add one rule: "Never include client names, health conditions or appointment details" (2 minutes).
- Test it on next month's newsletter. A person reads and edits before anything is sent (15 minutes).
Real example
We could not find one. No clinic has described using Gemini skills; the feature is days old.
